The figure a client signs is the figure you invoice.

Proposal, e-signature, milestone billing and collections generated from one record, with every change of scope signed before it is billed.

Professional services automation generates the proposal, the contract, the milestone schedule and the invoices from one record. The client signs the proposal in the browser, invoices come from the signed version, and a change of scope becomes a numbered change order signed the same way. What the client read, signed and paid is then one number.

Without one record, a firm loses time twice.

Once at the start, assembling a proposal from the last one and getting a number slightly wrong. Once at the end, reconstructing what was agreed when the client queries the invoice.

The proposal lives in a document, the signed copy in an email thread, the hours in a timesheet tool and the invoice in the accounts package. Every copy is a place for the figure to drift, and the client is usually the one who finds it. Scope creep does the rest: a change agreed on a call, delivered, and argued about three months later.

Proposal to payment, generated from one record.

  • Proposals from a record. Consistent and priced from the same figures the contract will carry, so the number the client reads is the number they sign.
  • E-signature. The client signs in the browser, and the signed copy files itself against the record with its signature evidence. Client portals & e-signature.
  • Milestone, retainer and time billing. Invoices raised when a milestone completes, retainers drawn down against a balance, or hours billed from ERPNext timesheets where you bill on time.
  • Change orders. Numbered, priced and signed, so every change carries its own date of agreement.
  • A client portal. Documents, invoices, progress and requests, each client seeing their own and nothing else.
  • Collections. Reminders and escalation that run on a schedule rather than on someone's discomfort. Workflow automation.

Underneath sits ERPNext: projects, timesheets, payment terms and the ledger, with no per-seat licence growing with your headcount.

We run our own studio this way.

Every SolaryxDev client reads proposals, signs contracts, pays invoices and follows the project in our portal, and our own agreements are signed there. The awkward parts, a client re-reading a document six months later, a co-signer, a change order mid-project, are built and in use.

One rule does most of the work. What the client reviews on screen and what the signed PDF renders come from the same source, so they cannot differ. Where two templates exist for one document, they eventually disagree, and the disagreement surfaces in a dispute.

Models work on the documents, and people set the price.

A private knowledge base answers from your past proposals, contracts and statements of work with the file and page cited, so a new proposal starts from what was agreed last time. Call notes are summarised against the right client, with the follow-ups created as tasks, and routine letters are drafted and held for a person to send.

The price, the scope decision and anything sent to a client for the first time stay with a person, and the code enforces it.

The move to one record, step by step.

  • Document audit. We collect your current proposal, contract, invoice and statement, along with every exception your team handles by hand.
  • Templates and legal blocks. Rebuilt so they are generated, with your terms and the clauses your jurisdiction needs.
  • Pipeline and stages. Enquiry to proposal to signature to delivery to invoice, with what may be automatic named explicitly.
  • Portal and roles. What the client sees, what a co-signer sees, what your team sees.
  • Parallel run and cutover. One full cycle before the old way is switched off.

The engagement itself works the same way: one fixed price against a signed scope, milestones visible in your portal as they happen. How we work sets out the five steps, and our guide to e-signatures in the UAE covers the law in more depth.

Frequently asked questions

How does professional services automation run proposal to payment on one record?

Professional services automation generates the proposal, the contract, the milestone schedule and the invoices from one record. The client signs the proposal in the browser, invoices come from the signed version, and a change of scope becomes a numbered change order signed the same way. What the client read, signed and paid is then one number.

What is professional services automation (PSA)?

Software that runs a service firm's work from proposal to payment: pricing and scope, the contract, time or milestone billing, and collections. We build it on ERPNext, so the proposal, the signed contract, the invoices and the ledger all come from one record.

Do you support retainers as well as project work?

Yes: recurring invoicing, drawdown against a prepaid balance, and reporting on what has been consumed against what was bought. Project milestones and retainers can sit on the same client record.

Can a client sign on a phone?

Yes. The document is read in the phone's browser and signed there, with no app to install, and both sides end up holding the same file with the acceptance recorded against the record.

Does an e-signed engagement letter hold up in the UAE?

Under Federal Decree-Law No. 46 of 2021 an electronic document does not lose legal force for being electronic, and any form of electronic signature may be used unless a law provides otherwise. Where another law requires a particular form, that law applies, so ask your lawyer about anything unusual.

What about timesheets?

Supported, and ERPNext can raise an invoice straight from a submitted timesheet. We ask first whether you bill on hours. If you bill fixed price and track hours anyway, simplifying the tracking may serve you better than automating it.

Can our team see margins that clients cannot?

Yes. Roles decide what each person is sent. A client never receives cost or margin fields, and a junior team member can be kept from them too. Access is enforced at the read, before anything reaches a template.
