One record per tenancy, from the signed lease to the last repair.

Leases signed online, rent and cheque dates chased on a rule, and maintenance requests tracked until their cost lands on the unit.

Property management software should hold one record per unit, lease and tenant, and generate the rest from it: the tenancy contract to read and sign, the rent schedule and its invoices, reminders before each payment or cheque date, renewals, and maintenance requests as tracked jobs. Registering the tenancy with the authority stays your step.

Four copies of one tenancy, and they disagree.

The renewal is missed because its date lived in somebody's calendar. The owner's statement is late because it is typed from four places at month end. A tenant disputes a charge and nobody can find the version of the lease they signed. A repair request sits in a phone for a week, and the cost is never booked against the unit.

None of this needs a model first. It needs the unit, the lease, the tenant and the money in one place, with everything else generated from them. Summaries, reminders and chasing then run on a record that holds.

Seven parts for landlords and property managers.

  • Leases signed in the browser. The tenancy contract generated from the record, read by the tenant and signed where it is read, with both sides holding the same file. Client portals & e-signature.
  • Maintenance tracked to cost. A request arrives with photos as a tracked job, is assigned, gets chased when it sits too long, and is closed with its cost booked against the unit. Workflow automation.
  • Calls summarised by unit. Viewing requests and tenant calls summarised against the right unit, with the follow-up created as a task. Voice and conversation systems.
  • Rent chased on a rule. Reminders before each due date and each post-dated cheque, payments matched to the schedule, and arrears escalated on a rule.
  • Units, leases and tenants. Buildings, units, owners and tenancies on ERPNext, with rent schedules that raise their own invoices through its Subscription feature.
  • A tenant portal. Leases, invoices, receipts and requests, where each tenant sees their own and nothing else.
  • Owners with several companies. One sign-in across several owning companies or buildings, each with its own books, and data that never crosses between them.

Can a lease be signed electronically?

It depends on the law that governs the lease. Under UAE law, generally yes: Federal Decree-Law No. 46 of 2021 says an electronic document does not lose its legal force for being electronic (Article 5), and that a person may use any form of electronic signature unless the law provides otherwise (Article 8). The law it replaced, Federal Law No. 1 of 2006, excluded real-estate sales and leases of more than ten years. The 2021 law carries no such list, although the Cabinet may exclude transactions by decision (Article 2).

In the UAE, registration is separate. In Dubai, Law No. 26 of 2007 requires a written lease signed by both parties and registered with RERA, and registration runs through the Dubai Land Department's Ejari system, on its Unified Tenancy Contract. In Abu Dhabi, tenancy contracts are registered through Tawtheeq. Registration is your step, or your licensed property manager's, and we do not connect to either system.

For a long lease, a sale or anything that goes before a notary, ask your lawyer first, since this is general information. Our guide to e-signatures in the UAE goes further.

From portfolio audit to the first rent cycle.

  • Portfolio audit. Units, leases, owners, cheque schedules and open requests as they are today, including the spreadsheet somebody keeps privately.
  • Lease template and rules. Your contract generated from the record, with your clauses and your rent and cheque schedule.
  • Migration, dry run first. Leases, balances and deposits migrated into a staging copy and reconciled before cutover.
  • Portal and roles. What a tenant, an owner and your staff each see, enforced at the read.
  • Parallel month. One rent cycle in both systems until the differences are zero.

The whole engagement is one fixed price, warranted for 12 months on our hosting, and the system can run on our servers in Germany or on yours.

Frequently asked questions

What should property management software do for a landlord or manager?

Property management software should hold one record per unit, lease and tenant, and generate the rest from it: the tenancy contract to read and sign, the rent schedule and its invoices, reminders before each payment or cheque date, renewals, and maintenance requests as tracked jobs. Registering the tenancy with the authority stays your step.

What is a tenant portal?

A secure page where each tenant signs in to see their lease, invoices and receipts, pay what is due and raise maintenance requests with photos. Each tenant sees their own tenancy and nothing else.

Can tenants raise maintenance requests themselves?

Yes, in the portal, with photos. Each request becomes a tracked job with an owner and a deadline. If it sits too long the workflow chases the assignee, then chases a person about it, and the tenant sees the status without phoning.

Can one owner see several companies or buildings in one login?

Yes. Each owning company keeps its own books and tenants, and every record route checks access on its own, so one login can span them without their data mixing.

Does it handle recurring rent invoices and reminders?

Yes. Rent schedules raise invoices on their own interval, reminders go out before each due date and cheque date through an approved template, and payments are matched back to the schedule. A payment that cannot be matched queues for a person rather than being guessed.

Do you integrate with Ejari or Tawtheeq?

No. Registration stays with you or your licensed property manager, through the authority's own channels. The system keeps the registration number and certificate against the lease once you have them, and reminds you before the renewal.

How much does property management software cost?

Here it is a one-off fixed price for the build against a signed scope, with hosting priced in the same proposal. ERPNext carries no per-unit or per-seat licence, so the cost does not grow with the portfolio.
